We are looking for a passionate Executive Business Administrator to support the CVP.
The ideal candidate will be self-motivated, have excellent communication and interpersonal skills, and the ability to work independently and professionally at all levels. The candidate will need to work effectively within short time constraints, prioritize tasks and take appropriate actions. This position is for an individual who is comfortable working without significant oversight or instruction and achieves results with a high degree of accuracy and attention to detail.
This role requires complex scheduling skills, operational excellence, an effective use of data and business systems, as well as the continual exposure to internal and external executive leadership.
To be successful, the candidate will have the ability to navigate ambiguity, anticipate and remove administrative roadblocks, make timely decisions across the organization, and adapt to constantly changing environments, while identifying areas to help support the business.
Overtime may be required, with flexibility to work outside the standard work hours as needed.
Key priorities and responsibilities for this position include (but not limited to):
• Calendar management for a CVP.
• Proactively manages logistics for CVP meetings and events
• Travel management for the CVP
• Uses diplomacy and professionalism to draft communications
• Creates data management plans and manages data by using the advanced features of Microsoft products/tools.
• Develops a deep knowledge of the overall business group strategy and acts as an information resource to the business group.
• Anticipates and removes administrative roadblocks and makes timely decisions across the business group.
• Serve as a lead to an administrative team of 4, manage a vendor admin
• Directly resolves customer requests and hosts business guests.
• Event Coordination and Logistics, leadership team offsites, morale, in person activities
• Lead special assignments and projects as needed.
• Maintain and manage space planning for the org.
• Drive for improvements within our business process and resources.
• Build and maintain good business relationships with customers both internally and externally.
• Consistently demonstrate a can-do customer service attitude.
Skills and Experiences:
• Have effective written and verbal communication skills and strong problem-solving skills and attention to detail.
• 10+ years of executive administrative/project management work experience supporting high level leaders in a fast-paced environment.
• 6-8 years supporting CVP level or above.
• Extensive experience working in an extremely fast-paced environment.
• Strong attention to detail and problem-solving skills.
• Ability to interface at the exec-level with customers and partners both internal and external.
• Knowledge of internal Microsoft Office products is required.
• Possess drive and initiative to identify, solve, and follow through on problems and the ability to act independently to achieve results with a high degree of accuracy, professionalism, and attention to detail.
• Professionalism in all transactions including communicating and working with highly confidential and sensitive information.
• Ability to work independently, navigate new challenges with confidence, and adjust direction in response to shifting priorities with a calm sense of urgency.
